Terms and Condtions
Enrolment at The Stewart academy of performing arts is confirmed by completing all sections of the enrolment form, accepting the terms and conditions and submitting to The Stewart academy of performing arts along with payment.
Payment
Fees are charged per school term (3 terms per year).
All fees are due before the first lesson on the term unless you have obtained prior consent from management.
No refunds will be given once the term has commenced.
No refunds will be given for any missed classes.
The client is responsible for all charges associated with their child’s class.
For the Academy Choir all fees are collected via standing order due on the 5th of each month.
Cancellations
In the regrettable situation that the student is unable to attend a class for the remainder of the term after commencement , written notification is required
Duty of care, safety & conduct
Please be aware that due to the nature of dance and for your child's growth, development and safety it will be necessary at times to engage in physical contact with your child. This will always be done in an appropriate manner and with your son or daughter's best interests in mind.
The Stewart academy of performing arts provides the safety and care of students whilst on the premises.
The Stewart academy of performing arts aims to take reasonable care to ensure their acts of omissions do not cause reasonable foreseeable injury to students.
The Stewart academy of performing arts does not accept responsibility for student’s safety outside the premises.
The Stewart academy of performing arts and its service providers attempt to minimise any risk of personal injury within practical boundaries, however accidents do happen and all physical activities carry the risk of personal injury.
All students and guardians acknowledge that while every care and safety measure will be taken, there is an inherent risk of personal injury in physical activities that will be undertaken at the studio as part of the programme and accept that risk.
Damages
The signatory will be financially responsible for any damage sustained to The Stewart academy of performing arts property, venues and their fittings by the student or their guardian. Management will charge the signatory for any repairs, labour or replacement as deemed necessary.
Responsibility
The Stewart academy of performing arts does not accept responsibility for the damage or loss of goods left on the premises prior to, during or after dance classes.
The student and their guardian are solely responsible for their personal belongings and property whilst left on the premises.
The student and their guardian release The Stewart academy of performing arts their staff, instructors, agents and directors from any responsibility in any way for loss or dance of its personal belongings or property.
The student and their guardian shall make no claim adversely impacting, causing hardship or undue stress on The Stewart academy of performing arts as a result of their actions.
Photos and videos
From time to time we will take photos of students in class. These will be used to send to you to update you on your child’s progress.
By enrolling your child in The Stewart academy of performing arts you acknowledge that photos and videos may be taken and used for this purpose.
The Stewart academy of performing arts may also take photos for advertising purposes to be used on social media, websites and print. We will only ever use photos of your child provided we have your prior consent.
You may withdraw consent at any time by written notice to management.
We reserve the right to request no photos or videos be taken by parents in class.
Breach of Terms and Conditions
Pupils will be asked to leave without notice for any serious breach of the school’s terms and conditions or for any other serious misconduct.
By signing this contract you confirm that you have told us if your child has any allergies, disabilities or special requirements.

GDPR

Note that no personal details will be shared with any third parties other than that for the purposes of a secured cloud storage system.
The Stewart academy of performing arts is committed to ensuring protection of all personal information that we hold, and to provide and to protect all such data. We recognise our obligations in updating and expanding this program to meet the requirements of GDPR. The Stewart academy of performing arts are dedicated to safeguarding the personal information under our control and in maintaining a system that meets our obligations under the new regulations.
Our practice is summarised below. Any hard copy of personal information are stored onsite and kept in a locked storage unit. Bank details are sent to the relevant banking corporations and are not retained on any system. Personal details can be sorted on a locked computer and have storage with a GDPR compliant google documents cloud. The Stewart academy of performing arts already have a consistent level of data protection and security across our organisation, but we have introduced new measures to ensure compliancy.
Information Audit — We carried out an audit of information previously held and ensured that it was compliant with the new regulations. Policies and Procedures — we have revised data protection policies and procedures to meet the requirements and standards of the GDPR and any relevant data protection laws, including: Data Protection - our main policy and procedure document for data protection has been revised to meet the standards and requirements of the GDPR. Accountability and governance measures are in place to ensure that we understand and adequately disseminate and evidence our obligations and responsibilities; with a dedicated focus on privacy and the rights of individuals .Data Retention and Erasure - we have updated our retention policy and schedule to ensure that we meet the "data minimisation" and "storage limitation" principles and that personal information is stored, archived and destroyed in accordance with our obligations. We have procedures in place to meet the new "Right to Erasure" obligation.
Data Breaches - our procedures ensure that we have safeguards in place to identify, assess, investigate and report any personal data breach as early as possible. Our procedures have been explained all employees. International Data Transfers and Third-Party Disclosures - where The Stewart academy of performing arts stores or transfers personal information outside the EU, we have robust procedures in place to secure the integrity of the data. Our procedures include a continual review of the countries with sufficient adequacy decisions, as well as binding rules, or standard data protection clauses for those countries without. Subject Access Request (SAR) - we have revised our SAR procedures to accommodate the revised 30-day timeframe for providing the requested information and for making this provision free of charge Privacy Notice/Policy - we have revised our Privacy Notice(s) to comply with the GDPR, ensuring that all individuals whose personal information we process have been informed of why we need it, how it is used, what their rights are, who the information is disclosed to and what safeguarding measures are in place to protect their information.
Obtaining Consent - we have revised our consent mechanisms for obtaining personal data, ensuring that individuals understand what they are providing, why and how we use it and giving clear, defined ways to consent to us processing their information Direct Marketing - we have revised the wording and processes for direct marketing, including clear opt-in mechanisms for marketing subscriptions; a clear notice and method for opting out and providing unsubscribe features on all subsequent marketing materials. Data Protection Impact Assessments (DPIA) - where we process personal information that is considered high risk, we have developed stringent procedures for carrying out impact assessments that comply fully with the GDPR's Article 35 requirements. We have implemented documentation processes that record each assessment, allow us to rate the risk posed by the processing activity and implement mitigating measures to reduce the risk posed to the data subject(s).Processor Agreements - where we use any third-party to process personal information on our behalf (i.e. Payroll, Recruitment, Hosting, etc.), we have drafted compliant Processor Agreements and due diligence procedures for ensuring that they meet and understand their/our GDPR obligations.
Data Subject Rights We provide easy-to-access information via www.thestewartacdemyofperforming arts.co.uk of an individual’s right to access any personal information that The Stewart academy of performing arts processes about them and to request information about: what personal data we hold about them the purposes of the processing the categories of personal data concerned the recipients to whom the personal data has/will be disclosed how long we intend to store your personal data for if we did not collect the data directly from them, information about the source the right to have incomplete or inaccurate data about them corrected or completed and the process for requesting this the right to request erasure of personal data (where applicable) or to restrict processing in accordance with data protection laws, as well as to object to any direct marketing from us and to be informed about any automated decision-making that we use the right to lodge a complaint or seek judicial remedy and who to contact in such instances.
Information Security and Technical and Organisational Measures The Stewart academy of performing arts takes the privacy and security of individuals and their personal information very seriously and take every reasonable measure to protect and secure the personal data that we process. We have robust information security policies and procedures in place to protect personal information from unauthorised access, alteration, disclosure or destruction. GDPR Roles and Employees The Stewart academy of performing arts have designated Kelly Stewart as our Appointed Person and have appointed a data privacy team to develop and implement our roadmap for complying with the new data protection Regulation. The team are responsible for promoting awareness of the GDPR across the organisation, assessing our GDPR compliance, identifying any gap areas and implementing the new policies, procedures and measures. The Stewart academy of performing arts understands that continuous employee awareness and understanding is vital to the continued compliance of the GDPR and have involved our employees in our preparation plans.
